In this Policy, the following capitalized terms will be used with the meaning assigned to them below:

”Company” means Legal ART S.R.L, registration number, tax number.

”Platform” means our website at www.docsdeeds.com and www.docsdeeds.ro as well as our software.

”Personal Information” means any data, information, or combination of data and information that is provided by you to us directly, or through your use of our products or services, that relates to an identifiable individual.

THE INFORMATION WE COLLECT ABOUT YOU

  • Account and profile information that you provide when you register for an account or sign up for our products or services, for example name, e-mail address.

  • Information you provide through support channels, for example when you report a problem to us or interact with our support team, including any contact information, documentation, or screenshots.

  • Communication, marketing, and other preferences that you provide us when you set up your account or profile, or when you participate in feedback forms, surveys or any other type of questionnaires we might send.

  • Information about your device or connection, for example about your IP address, and information we collect through cookies and other data collection technologies (please see the Company’s Cookies Policy for details).

  • Information about your use of or visit to our Platforms, such as visualised products.

  • Information about you location.

We collect the above information when you provide it to us or when you use or visit the Platform. We may also receive information about you from other sources, such as:

  • our personnel, agents, advisors, consultants, and contractors, in connection with our operations, for example our staff engaged in the fulfillment of your order, payment processing, client support.

  • other users of our products or services.

  • other services linked to your account.

  • our group companies.

  • our business partners and service providers based in Romania who provide the following services to us: payment processing

We do not collect sensitive data or special category data about you, including details about your race, ethnic origins, political orientation, religion, trade unions memberships, genetics, biometrics, health, sexual orientation.

HOW WE USE THE COLLECTED INFORMATION

The Company only uses your personal information if permitted under the law. Specifically, we use information only where:

  • the Company performs its services or delivers products as agreed under the contract we have entered with you, including to operate the orders, to provide customer support and personalized features, to protect the safety and security of the Platform.

  • if satisfies a legitimate interest which is not overridden by your fundamental rights or data protection interests, for example for research and development, and in order to protect our legal rights and interests.

  • you’ve given the Company consent to use such information for specific purposes, for example, when we send marketing materials or publish testimonials to promote our products.

  • the Company is required to do so under a legal or regulatory obligation.

  • detect, prevent, or otherwise address fraud, security, or technical issues.

If you have given the Company consent to use your personal information for a specific purpose, you have the right to withdraw your consent at any time by contacting us. However, this will not affect any use of your information that has already taken place.

We do not share your personal information with any company outside the group for a marketing purpose, unless you have provided consent to do so.

LEGAL BASIS FOR PROCESSING

Our legal basis for processing your information is:

  • processing is necessary for the performance of the contract executed with you, including processing of your orders.

  • processing is carried out on the basis of your consent.

  • processing is necessary to protect your vital interests.

  • processing is necessary to safeguard the Company’s or one of our partners’ legitimate interests, except where your interests or fundamental rights and liberties override such interests.

  • processing is necessary to ascertain or protect your rights in courts of law or before public authorities.

 

HOW WE SHARE COLLECTED INFORMATION

 

We share information with other companies in our group in order to operate the Platform and to offer and improve our products and services.

We share information with third parties that help the Company operate, provide, support, improve, market its products and services, for example, partners that offer call center support.

Third party service providers have access to your personal information only for the purpose of performing their services and in compliance with the applicable laws and regulations. We require these third-party services provides to maintain confidentiality and security of all personal information that they process on your behalf and to implement and maintain reasonable security measures to protect the confidentiality, integrity, and availability of your personal information.

We take reasonable steps to confirm that all third-party service providers that we engage process personal information in the manner that provides at least the same level of protection as is provided under this Policy. Where any third-party provider is unable to satisfy our requirements, we will require them to notify us immediately and we will take reasonable measures to prevent or stop any non-compliant behavior.

We may share personal information on aggregated or redacted and anonymised basis with third parties for research and analysis, profiling, and similar purposes to help us improve our products and services.

If you use any third-party software in connection with our products or services, for example, any third-party software that our Platform integrates with, you might give the third-party software provider access to your account and information. Policies and procedures of third-party software providers are not controlled by the Company, and this Policy does not cover how your information is collected or used by such third-party software providers, which have their own policies that should apply.

The Platform may contain links to third party websites over which we have no control. If you follow a link to any of these websites or submit information to them, their policies will apply.

We may share your information with government and law enforcement officials to comply with applicable laws or regulations, such as when we respond to claims or requests from their side.

If we are acquired by a third party, under a merger, business transfer, shares transfer or any other manner, your personal information may be disclosed and/or transferred to a third party in connection with such transactions, including to lawyers or consultants. Under such circumstances, you will receive a notice regarding the choices you may have regarding your information.

 

HOW WE STORE COLLECTED INFORMATION

Our hosting service providers are based in Romania.

We have adopted the following security and integrity measures to protect your personal information:

  • information is encrypted using TLS/SSL technology.

  • your account is password protected.

  • access to your personal information is restricted to personnel or service providers on a strictly need-to-know basis, who will only process your information on our instructions and who are subject to a duty of confidentiality.

  • the Company regularly reviews and updates its collection, storage and processing policies.

 

The Company has adopted procedures to deal with suspected privacy breaches and will notify you and any applicable regulator of a breach, if we are legally bound to do so.

 

While we implement safeguard designed to protect your information, please note that no transmission of information on the internet is completely secure. We cannot guarantee that your information, during transmission through the internet or while stored on our systems or processed by us, is absolutely safe and secure.

We only retain personal information for so long as it is reasonably necessary to fulfil the purposes, we collected it for, as well as any eventual legal, accounting or reporting requirement. We review the basis of our retention policy constantly.

The Company may transfer, process, and store your information outside Romania for the purpose of providing the services and products to you.

If we share such information with partners or service providers that are located in countries without privacy and data protection laws or where GDPR does not apply, we make use of contractual clauses, rules and other legal mechanisms to safeguard the transfer of your information.

YOUR RIGHTS

You are entitled to:

  • be informed of what we do with your personal information.

  • request a copy of the personal information we hold about you.

  • require us to rectify, correct or complete any inaccuracy or error in any personal information we hold about you.

  • request erasure of your personal information. However, we may not always be able to comply with such request of erasure for record keeping purposes, to complete transactions or to comply with legal obligations.

  • object to or restrict processing of your personal information, including for marketing purposes.

  • request to receive some of your personal information in a structured, commonly used, and machine-readable format, and request that we transfer such information to another party.

  • withdraw your consent at any time where we are relying on consent to process your personal information, although this will not affect the lawfulness of any past processing.

The Platform enables you to update information about yourself.

You may opt out of receiving marketing materials from the Platform or Company. However, if you opt for this, you will still receive notifications that are necessary for the use of our products or services.

As a security measure, we may need specific information from you to help us confirm your identity when processing your privacy requests or you exercise your rights.

Your requests will be free of charge, except for cases when your request clearly ungrounded, repetitive or excessive, when we will charge a reasonable administrative fee.

We will respond to all legitimate requests within 30 days. Occasionally, it may take longer if a request is particularly complex or if you made a number of requests.

CHANGES TO THIS POLICY

This Policy may be amended from time to time. The updated version will be posted on the Platform. By continuing to use the Platform after such changes come into effect, you agree to be bound by the updated Policy.

POLICY TOWARDS CHILDREN

The Company’s services and products are aimed at individuals over insert. We do not knowingly collect personal information from individuals under this age. If we become aware that such an individual has provided us with personal information, we will take steps to delete it. Please contact us if you believe we have mistakenly on unintentionally collected information from an individual under the mentioned age.
